Banking and Cashbook Management

• Accurately capture all bank transactions including receipts, payments, transfers, direct debits, and credit card transactions into the accounting system on a daily basis
• Maintain and manage multiple bank accounts across different business units
• Ensure that all entries are processed timeously and in accordance with internal procedures
• Process and reconcile petty cash transactions, ensuring compliance with company policies and procedures

Reconciliations

• Perform daily, weekly, and monthly bank reconciliations for all company accounts
• Identify, investigate, and resolve any discrepancies or unreconciled items promptly
• Ensure that all reconciling items are followed up and cleared within acceptable timeframes
• Monitor cash balances and ensure that sufficient funds are available for operational requirements

Payments and Receipts

• Process electronic fund transfers (EFTs), debit orders, and other payment methods accurately
• Allocate incoming customer receipts to the correct accounts and invoices
• Liaise with Accounts Receivable and Accounts Payable teams to resolve unmatched or outstanding transactions
• Ensure all payments are processed in line with company policies and approval processes

Controls and Compliance

• Ensure strict adherence to internal controls, company policies, and financial procedures
• Maintain confidentiality and safeguard all financial and banking information
• Assist with both internal and external audits by providing accurate records and supporting documentation
• Identify potential risks and contribute to strengthening financial control processes

Reporting

• Prepare daily, weekly, and monthly cashbook and bank reports
• Assist in preparing cash flow forecasts and monitoring liquidity
• Provide accurate and up-to-date financial information to management
• Support decision-making by ensuring the availability of reliable financial data

Collaboration

• Work closely with Shared Services teams including Accounts Payable, Accounts Receivable, and Payroll
• Communicate effectively with internal stakeholders to resolve queries and ensure smooth operations
• Support ongoing finance projects, system upgrades, and process improvements

Key Performance Indicators

• High level of accuracy in transaction capturing and reconciliations

Requirements

Qualifications and Experience

• Matric with Accounting or Mathematics is essential
• Diploma or certificate in Finance, Accounting, or a related field is advantageous
• Minimum of 2 to 3 years’ experience in a cashbook or similar finance role
• Experience working in a shared services environment or large corporate organisation is preferred
• Experience using ERP or accounting systems such as SAP, Oracle, or similar platforms
• Strong proficiency in Microsoft Excel is essential, including working with large datasets
• Familiarity with financial reporting and reconciliation processes
