The Gauteng Department of Health is inviting applications for the position of Administration Clerk: Patient Affairs (7 Posts). Job Purpose

The primary purpose of this role is to manage patient administration processes, including registration, admissions, discharges, and record-keeping. The Administration Clerk ensures that all patient information is accurately captured, maintained, and handled in accordance with legal and regulatory requirements.

This position contributes directly to efficient patient flow, billing accuracy, and compliance with healthcare policies and systems.

Key Responsibilities For Administration Clerk Patient Affairs

The successful candidate will be responsible for:

Patient Administration

• Register patients accurately on the SAP-HIS system
• Admit, transfer, and discharge patients in accordance with hospital procedures
• Capture complete and accurate patient data (manual and electronic systems)
• Ensure proper classification of patients and follow up on outstanding accounts

Data Management & Record Keeping

• Maintain and safeguard patient records in compliance with legal requirements such as PAIA and Records Management Acts
• Ensure confidentiality of all patient information at all times
• Capture and update information during system downtime and ensure data is correctly uploaded once systems are restored

Scheduling & Patient Support

• Book appointments for follow-up visits
• Request and verify all required patient documentation during visits
• Provide assistance and guidance to patients where necessary

Reporting & Compliance

• Compile and submit reports and statistics within required timeframes
• Ensure compliance with healthcare legislation, policies, and financial regulations such as PFMA and Treasury regulations
• Adhere to National Core Standards and UPFS guidelines

Operational Support

• Order and manage administrative stock when required
• Assist in other departments or roles when requested by the supervisor
• Participate in rotational duties across different sections

Minimum Requirements

• Grade 12 (Matric) or equivalent qualification
• At least 1 year experience in a hospital or healthcare environment will be an added advantage

  • PAIA (Promotion of Access to Information Act)
  • National Archives Act

Inherent Job Requirements

• Willingness to work shifts, including nights, weekends, and public holidays
• Ability to adapt to rotational duties across departments
• Willingness to undergo medical surveillance as required

Selection Process

• Candidates may be required to complete a practical computer skills test
