An exciting opportunity has become available for a Cashbook Clerk within the Baking Business Unit at RCL Foods, based in Durban.

• Maintaining up-to-date and reconciled cashbook records

1. Daily Receipts Processing and Cash Allocation

• Receive, review, and process all credit notes and discount transactions
• Verify that all financial documents are properly authorised before processing
• Accurately count cash received from drivers under camera supervision
• Capture all receipts on the Driver Cash-Up spreadsheet with precision
• Allocate receipts to the correct customer accounts within the JDE system
• Ensure all transactions are recorded in a timely and accurate manner

2. Cash Handling and Reconciliation

• Perform daily cash counts and ensure all cash balances are accurate
• Reconcile physical cash with system records and banking information
• Conduct daily reconciliation of the cash vault machine
• Identify discrepancies between expected and actual cash balances
• Investigate variances and resolve issues promptly
• Maintain strict adherence to company cash handling policies

3. Shortage Investigation and Reporting

• Identify and investigate all cash shortages or discrepancies
• Liaise with drivers and driver supervisors to determine causes of shortages
• Document findings and provide detailed explanations for variances
• Ensure all shortages are reported within 24 hours
• Assist in implementing corrective measures to prevent future discrepancies

4. Petty Cash Management

• Process all authorised petty cash transactions
• Issue petty cash for approved operational and wage-related expenses
• Maintain accurate and up-to-date petty cash records
• Ensure all petty cash payments are supported by valid documentation
• Reconcile petty cash balances regularly

5. Financial Administration and Record Keeping

• Maintain a well-organised filing system for all financial documentation
• Ensure documents are easily accessible for audits and internal reviews
• Order and manage company pre-printed stationery
• Support administrative functions within the finance department
• Ensure proper document control and record retention

6. Compliance and Internal Controls

• Ensure all financial processes comply with company policies and procedures
• Adhere to internal control measures to safeguard company assets

Minimum Requirements

Education

• NQF Level 4 or 5 (Matric or equivalent qualification)

Experience

• Minimum of 1 year’s experience in a cash handling, credit control, or finance environment
• Experience working in a high-volume transactional environment is advantageous

Technical Skills

• Proficiency in Microsoft Excel (essential)
• Experience with ERP systems such as JD Edwards (JDE) (advantageous)
• Basic understanding of accounting and financial processes
